Business assets are instances of business asset types. They represent specific data entries or records that embody the defined business concepts. For example, a customer record in a database is a business asset that falls under the 'Customer' asset type.

The Business Assets tab in Governance lists all the business asset types, their description and asset count for each type.

To create a business asset:

  1. Go to Governance > Business Assets. The list of business asset types display where you can view the Name, Description, and total Asset Count for each asset type.
  2. You can also click the arrows next to the Name column header to sort the column either in ascending or descending order. Click an asset type from the list to view all its details.
  3. Click Create Asset to create a new asset.
  4. In the Create Asset dialog complete the required and optional fields to define the asset. The required fields are defined for your organization. If you cannot find a suitable asset type that categorizes your asset and provides the correct fields to populate, ask an administrator to create a new asset type for you.
  5. Click Create or Create and Add Another. The system then ensures that the key fields used to identify this asset are unique.
    • If there is a single key field, such as Name, which is not unique, then it will be identified as an invalid field.
    • If there are multiple key fields that are not unique, a different validation message displays for all key fields.
  6. Once the asset is created, these menu options are available when you click the ellipsis for an asset or open its Information panel:
    • View Information: Opens the Information panel on the right.
    • Open: This will take you to the page where you can view Details.
    • Open in New Tab: Opens the Details tab in a new tab in browser.
    • Edit: Opens the Edit Asset dialog where you can edit the configuration of the asset.
    • Delete: Opens the Delete Asset dialog where you can remove the asset from the system.
Note: This option only appears if you have explicit Delete permission for Business Assets. The Delete permission is not included with Manage permission. If you cannot see the delete option, contact your workspace manager to request Delete permission.

Establish relationship between business assets

You can create relationships between assets to understand how assets relate to and impact other types of governed assets. Establishing these relationships allows you to identify dependencies, streamline operations, and enhance decision-making. For example, by linking financial assets to operational assets, a user can better assess the financial implications of operational changes. Additionally, understanding the relationships can help in risk management by highlighting how the failure of one asset may affect others, ultimately leading to more informed strategic planning and resource allocation.
  1. Go to Governance > Business Assets to view the list of configured and cataloged business asset types.
  2. Select an asset type from the list to access the page displaying all assets within that category.
  3. Click an asset name from the list to be directed to the Details tab.
  4. Go to the Relationships tab to view all relationship types. You can also click the Filter button on the side panel to see a comprehensive list of relationship types along with their counts. Check the box to display only filtered relationship types on the page.
  5. click Create Relationship to establish a new relationship for the selected asset.
  6. Choose a relationship type from the dropdown menu to view a list of available assets for creating a relationship.
  7. Click Select Assets to display the list of available assets.
  8. Select an asset from the list and click Create Relationship to finalize the process.
  9. On the Relationships page, click the Information button to open the Information panel for the selected relationship type. In this panel, you can view the established relationship and all associated assets in their respective tabs.
Note: Only a single asset can be related for many-to-one relationship types.

To delete a relationship:

  1. Go to the Relationships tab to view all relationship type.
  2. Click the ellipsis next to a relationship type name and select Delete.
  3. A Delete Relationship dialog will appear. Confirm that you want to remove the relationship and click Delete.
Warning: A successful deletion cannot be undone.

View change history for business assets

Change history records all modifications to a business asset and updates every couple of minutes.

To view change history for a business asset, go to Governance > Business Assets, select your asset, and follow the same process described in Change history for business asset types. The system tracks field value additions, edits, deletions, relationship changes, and responsibility overrides. Deleted assets don't appear in change history because they're no longer accessible.
