If you have the required permissions, you can create Request Types to enable users to make requests on an asset, such as raising data quality issues or suggesting new business terms. When you create a Request Type, you define fields to specify the information that users will need to provide when they make that type of request.

Once you have defined a Request Type, the next step is to build a workflow around it. The workflow determines what happens after a user has made a request, and allows you to route issues to the relevant person who will determine the next steps.

The Request Types tab on the Workflow page lists all Request Types that have been configured in your system. You can select a Request Type to see additional information or to edit the configuration:

  • Details: Request Type details, including description, allocation type and request form information. The request form contains the information that users will need to complete after clicking Make a Request.
  • Allocations: View or add asset types where the Request Type can be selected. For example, you can limit a Request Type to only apply to Business Assets. You can also limit the availability to selected user roles. For example, this Request Type is limited to Business Assets and will only be available to select for users with the Data Steward role.
  • Display options - Request entry points: Define the locations from which users can initiate this Request Type. All entry points are selected by default. The entry point options that you can choose from vary according to the allocation type. 'General' Request Types are only available to select from the home page. For Request Types that apply to a specific asset type, these can be selected from the asset type action menu, or from the home page. For Request Types that apply to specific assets, these can be selected from the asset action menu, the link in the side panel when the asset is selected, or from the button in the title area when the asset is selected. Make a Request will only display if there are allocations configured on a Request Type, and if that Request Type is used in an active workflow.
  • Display options - Exceptions: Tailor the Request Type to suit the specific needs of different assets. Exceptions allow you to switch off the display of request entry points for some assets. Exceptions are configured for each allocated Asset Type separately. This means you can define different rules for different asset types. For example, on the Request Type allocated to the Business Assets asset type, for Business Term assets, hide the request entry point if the Status field is not Draft, or if the Subject Area is not Membership.
  • Display options - Request URL: Copy a link to share with others to direct them to where they can make a request. For general requests, there is only one URL to the request form. For Request Types that are based on specific assets or asset types, you can build a custom URL to share with other users. For example, if there is a Request Type for the creation of a new Business Term, you could share a link with other users in your organization by email, or post a link somewhere internally, to direct users to where they need to go to request the creation of a new Business Term.
  • Used in Workflows: Lists the workflows that use the selected Request Type, with details including whether the workflow is active and when the workflow was last run.
