Ownership rules eliminate repetitive manual work by encoding ownership patterns once and letting the Data Governance service apply them automatically. Instead of assigning owners to individual assets, you define conditions based on metadata, such as domain, asset type, tags, sensitivity level, source system, or name patterns, and specify which owners or stewards should be assigned to matching assets.

Ownership rules follow a deterministic resolution order to prevent conflicts. When an asset has multiple potential owners from different sources, the system resolves ownership in this order:

  1. Manual/Direct assignment: Ownership assigned directly to an individual asset takes highest priority.
  2. Rule-based assignment: Ownership assigned via an ownership rule applies next.
  3. Domain-based assignment: Ownership inherited from the asset's associated domain applies last.

The system de-duplicates and merges results, so an asset can have multiple owners from different roles (for example, both a Data Owner and a Data Steward) without conflict.

To create an ownership rule:
  1. Go to Governance > Ownership.
  2. Click Create Rule.
  3. Enter a name and optional description for the rule.
    Use a descriptive name that reflects the ownership pattern, such as "HR Domain Data Owners" or "PII Tagged Assets Stewards".
  4. Click Select to choose the Target asset type to which this rule applies.
  5. Click Preview Impact to see the impact of the rule.
    The preview shows total count of assets that match the rule conditions, associated domain, asset location, and datasource type. Review the preview to ensure the rule matches the intended assets. If the results are not as expected, return to the previous step and adjust the conditions.
  6. Click Add Condition and define the conditions that assets must match.
    • Attribute: Select the metadata attribute to evaluate (for example, Domain, Asset Type, Tags, or Name).
    • Operator: Choose an operator from the supported options, such as is, is not, contains, not contains.
    • Value: Enter or select the value to match.

    Add multiple conditions if needed. The rule matches assets that satisfy all conditions (AND logic).

  7. Click + Add Users or Groups to assign Owners to this rule.
    1. In the Add Owners to Domain panel, select an ownership type from the Ownership Types dropdown list.
    2. If the ownership type you need does not exist, you can create it inline using the following steps:
      1. Click Create/Add custom Ownership Type. The Create Custom Ownership Type dialog opens.
      2. Enter a name for the ownership type in the Ownership Type Name field.
      3. Optional: Enter a description in the Description field to provide additional context about the ownership type's purpose and responsibilities.
      4. Click Create to save the custom ownership type.
      5. After creation, the custom ownership type immediately appears in the Ownership Types dropdown list and is available to all users in your workspace.
      6. Select the newly created ownership type from the Ownership Types dropdown list
  8. Click Add to add the assignment. You can assign multiple roles and multiple users or groups per role.
  9. Click Create to apply the rule.
    The system evaluates all matching assets and assigns the specified ownership roles. This process may take several minutes depending on the number of assets affected.
The ownership rule is now active. All assets matching the rule conditions are assigned the specified ownership roles. You can view the rule in the Ownership Rules list and see which rule applied to each asset by viewing the asset details. Go to any asset to see the ownership assignment and which rule applied (if applicable).
